Job Summary

Reporting to Site Services Manager - Leyland

The primary function of the role is to handle customer facing duties as well as general administrations tasks, delivering day to day support to the business. This is a job share position and you will be required to cover full time for planned absence.

Roles and responsibilities

  • Greet customers as they arrive and connect them with the appropriate party ensuring security, health and safety policies and procedures are followed
  • Monitoring the visitor logbook, issue and return of visitor badges
  • Answer, screen and forward incoming calls in a professional and timely manner
  • Make travel arrangements via the company’s travel booking system
  • Book taxi’s for visitors
  • Organise lunches when requested ensuring costs are appropriately apportioned
  • Manage the booking of meeting rooms, prioritising where appropriate
  • Maintain the company organisational/departmental charts and directories
  • Arrange couriers utilising the in house booking system
  • Frank and organise post for Royal Mail collection
  • Sort and distribute incoming post
  • Order stationary in line with budget
  • Coordinate ordering and distribution of PPE
  • Keep the reception area tidy and presentable at all times with all necessary stationary, forms and brochures
  • Ensure reception area meeting rooms are clean, tidy and set up for the next meeting
  • Provide refreshments for visitors
  • In the event of a fire or other emergency requiring staff to leave the building be responsible for ensuring the visitor book and staff movement sheets are removed from reception and taken to the outside meeting point
  • Organise site events including charity events in conjunction with Bedford site
  • Provide general administration support preparing correspondence and documents when required
  • Undertake additional duties commensurate with level and experience as requested as the role develops
  • Act in accordance with the behaviours for Millbrook staff at all times

Essential Criteria


  • NVQ in customer service would be an advantage


  • Demonstrable experience in a reception or administration role
  • Experienced in customer service
  • Familiarity with switchboard systems


  • Friendly, polite and helpful
  • Strong planning, organisational and administration skills
  • Excellent written and verbal communication skills
  • Ability to work on own initiative with a can do approach
  • Able to deal with difficult clients or customers
